About the Role
The main purpose of this position is to provide essential administrative support to project managers and project teams. The successful candidate will ensure that tasks are efficiently coordinated, communication occurs in a timely manner, and all project-related activities run smoothly. This role ultimately contributes to the successful completion of projects within specified timelines and objectives.
Key Responsibilities
Documentation & Meetings: Create, organize, and maintain project documentation, including project plans, schedules, and status reports. Schedule project meetings, prepare agendas, take minutes, and distribute summaries.
Communication & Stakeholders: Facilitate communication within project teams as well as with external stakeholders, and coordinate feedback.
Task & Budget Tracking: Track tasks and milestones to ensure timely completion. Collaborate with the finance team and project managers to track project budgets and monitor expenses.
Resource Coordination: Assist with the allocation and coordination of resources to ensure team members have the necessary tools and support.
Reporting & Risk Management: Generate regular project status reports, identify project risks and issues, and support the implementation of solutions.
Quality & SHERQ: Review project deliverables for quality. Strictly adhere to and promote the company's safety, health, environmental, and quality policies (SHERQ).
General: Maintain strict confidentiality and ethical standards in all aspects of project administration, and remain adaptable to changing project requirements.
Requirements & Qualifications
Education: A High School diploma or equivalent is required. A Bachelor's degree in Project Management, Engineering, Business Administration, or a related field, OR a professional certification in Project Management / Business Administration is required.
Experience: Previous work experience as a Project Administrator, Project Coordinator, or in a similar role is a strong advantage.
Knowledge: A solid understanding of basic project management concepts, methodologies, and terminology, as well as basic customer service principles.
Technical Skills: Computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management software.
Core Competencies: Exceptional attention to detail, strong organizational skills, and sound time management principles.
Communication: Effective verbal and written communication skills and a willingness to work collaboratively in a team.
