We are seeking a Receptionist / Cashier for a permanent vacancy based in KuGompo City (East London), Eastern Cape

Applicants are required to meet the following criteria:

  • Grade 12 with qualifications in customer service, business administration, or a related field
  • Previous experience in a receptionist or cashier role is preferred
  • Experience in event coordination or venue booking management is highly beneficial
  • Experience working in a healthcare or elderly care setting is a plus
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel and Outlook)
  • Attention to detail and accuracy in handling cash transactions
  • Ability to manage and coordinate multiple bookings and events
  • Basic knowledge of office equipment (e.g., photocopiers, telephones)
  • Valid driver's license and comfortable with driving responsibilities.
  • Compassionate and patient oriented.
  • Ability to work independently and as part of a team/ flexible and adaptable to changing priorities

The successful applicant would be responsible for, but not limited to:

Front Desk Management:

  • Greet and welcome residents, family members, and visitors in a friendly and professional manner.
  • Answer and direct phone calls, taking accurate messages when necessary.
  • Manage the switchboard functions for changeover of weekend and night staff
  • Manage the reception area, ensuring it is tidy and presentable at all times.

Cashier Duties:

  • Handle cash transactions and handle processing of sales of items, tickets and services
  • Maintain a cash float and balance the cash register at the end of each shift
  • Process payments and write up the sales and cash receipt books
  • Processing and reviewing of Cash transactions and balances on Xero or other software
  • Prepare the daily banking and assist with banking when the Driver is on leave

Venue Booking Management:

  • Attend to all venue booking inquiries
  • Schedule and coordinate venue bookings, ensuring all details are accurately recorded
  • Collect payments for venue bookings
  • Ensure the venue is properly prepared for each booking and that all equipment and facilities are in good working order. With the co-ordination and assistance of the maintenance supervisor, housekeeper & kitchen facility.
  • To meet and welcome adhoc entertainment/memorial functions at the booked venue, to ensure all requirements are met and any further assistance needed.

Administrative Tasks:

  • Prepare Admissions, Discharges and Deaths & Transfer documentation and related records
  • Record and take into safe-keeping resident’s valuables/ID books
  • Prepare activities schedules and notices for the notice boards and Whatsapp Group
  • Handle queries/emails / photocopying & printing documents as required
  • Receive and receipt all account payments, donations, cash and administration fees
  • Follow up on outstanding/negative cash balances.
  • Maintain stock and control of items and transportation tickets and any other sellable item
  • Sort and post the mail / Assist with subsidy forms.
  • Typing and filing documents / general staff admin assistance
  • Manage staff whatsapp group
  • Distribution of internal communication/documentation.
  • Update Residents and Next of kin telephone lists ward listings and inform security
  • Driving/Shopping as required
  • Stand in for the Cottage Reception during that person's annual/sick leave
  • Assist Residents with proof of residence.
  • Help residents write maintenance requests and complaints and communicate with maintenance
  • Assist with posters and relevant communication and co-ordinate functions with regard to bookings
  • Manage the relevant communication on the Cottage and Care Home Whatsapp Groups.
  • Nursing services appointments, administration and general assistance
  • Assist with resident meal orders when the Driver is on leave / Coordinating Driver’s appointments

Communication:

  • Serve as the primary point of contact for inquiries and concerns from residents, family members, and visitors.
  • Communicate effectively with staff and management to ensure smooth operations.

Customer Service:

  • Provide excellent customer service, ensuring that all interactions are handled with empathy and professionalism.
  • Address and resolve any issues or complaints promptly and efficiently.

Health and Safety:

  • Adhere to all health and safety regulations to ensure a safe environment for residents and staff

Salary: R16 500 per month dependent on experience
