Receptionist / Practice Manager - Dental Practice

Medical Resources Group is recruiting on behalf of our client, a well-established and patient-focused dental practice based in Sandton, for an experienced Receptionist / Practice Manager to join their team on a permanent basis.
This opportunity is ideally suited to a professional, organised, and mature individual with strong dental reception and practice administration experience. The successful candidate will play a key role in managing the front-desk operations of the practice, patient communication, appointment scheduling, invoicing, supplier coordination, and day-to-day administrative functions.

Key Responsibilities
Reception & Patient Service
- Greet patients professionally and create a welcoming patient experience
- Answer and manage incoming calls professionally and efficiently
- Schedule, confirm, and manage patient appointments electronically
- Maintain and manage the electronic appointment diary
- Send appointment confirmations and follow-up communication to patients
- Manage daily patient flow and ensure efficient scheduling within the practice
- Assist patients with account queries and general practice-related enquiries
- Communicate with patients professionally via telephone and email
- Maintain a professional and organised reception environment at all times
Practice Administration & Operations
- Manage the day-to-day administrative operations of the practice
- Ensure smooth coordination between the clinical and administrative functions within the practice
- Handle patient invoicing, account statements, and payment-related queries
- Process daily payments and maintain accurate financial records
- Follow up on outstanding accounts and patient balances professionally
- Process and maintain accurate patient records and documentation
- Maintain confidentiality and compliance with patient information regulations
- Assist with month-end administrative processes and reporting
- Prepare and maintain records of supplier expenses and operational costs
- Support the dentist with general practice coordination and operational requirements
Supplier & Laboratory Coordination
- Communicate with dental laboratories regarding cases, collections, and deliveries
- Request quotations and place orders with suppliers and laboratories
- Monitor and manage office and practice stock levels
- Coordinate with service providers and suppliers regarding queries and deliveries
- Maintain good working relationships with suppliers and laboratory representatives
Systems & Software Management
- Work daily on Solumed practice management software
- Manage electronic patient files and appointment systems accurately
- Utilise Microsoft Office Suite for administration, reporting, and communication
- Manage practice emails and correspondence professionally
- Ensure accurate capturing and updating of patient and billing information
- Generate reports and administrative documents as required by management
Team & Practice Culture

Working Hours
- Monday – Friday: 08:00 – 17:00
- No remote or hybrid working arrangements
- Occasional Saturday work may be required based on patient bookings
- Mandatory annual leave period during December practice closure
Minimum Requirements
- Matric Certificate (Grade 12) – Essential
- Minimum 5 years’ experience as a Dental Receptionist and/or Practice Manager – Essential
- Previous experience working on Solumed software – Non-Negotiable
- Strong administrative and organisational skills
- Experience with patient invoicing and account management
- Computer literacy with experience on Microsoft Office Suite
- Excellent verbal and written communication skills
- Professional telephone etiquette and presentation
- Own reliable transport – Essential
- Strong attention to detail and ability to multitask
- Patient-focused with a friendly and professional personality
- Reliable, motivated, and able to work independently
Advantageous
- Previous experience within a dental practice environment
- Experience managing supplier and dental laboratory relationships
- Experience with month-end administrative processes and reporting
- Long-term career stability within previous roles
Remuneration
- R18 000 – R21 000 CTC per month
