Role Overview

The Property Operations and Leasing Coordinator will provide administrative and communication support across the day-to-day operations of commercial buildings. Based in Bellville, Western Cape, the role will manage incoming queries, coordinate communication between landlords and tenants, maintain property and service provider records, and support the preparation and administration of lease agreements.

This role is suited to an organised and service-focused individual who can manage multiple stakeholders, maintain accurate documentation, and ensure that queries and administrative processes are followed through promptly.

Requirements

  • Demonstrated experience in property administration, lease administration, commercial property operations, office coordination, or a similar role.
  • Experience preparing, issuing, tracking, or maintaining lease agreements and related documentation.
  • Strong written and verbal communication skills, with the ability to communicate professionally with landlords, tenants, contractors, and other stakeholders.
  • Demonstrated ability to manage a high volume of incoming queries and follow-up actions.
  • Strong administrative skills and attention to detail when maintaining property, lease, tenant, and supplier records.
  • Experience coordinating communication between multiple stakeholders with different priorities.
  • Proficiency with email, spreadsheets, calendars, document management systems, and general office software.
  • The ability to monitor deadlines, lease dates, signatures, approvals, and outstanding documentation.
  • Sound judgement when directing queries, escalating concerns, and communicating sensitive property matters.
  • A professional, service-focused approach to tenant and landlord communication.
  • Experience maintaining contractor, supplier, or stakeholder contact databases.
  • A relevant qualification in property studies, business administration, office management, operations, or a related field would be advantageous. Key Responsibilities
  • Receive, record, assess, and respond to incoming property-related queries.
  • Direct maintenance matters to the Property Inspections and Maintenance Coordinator and monitor them for appropriate stakeholder follow-up.
  • Act as a central communication point between landlords, tenants, service providers, and relevant internal stakeholders.
  • Provide clear updates on property queries, documentation, approvals, access arrangements, and outstanding actions.
  • Prepare, issue, track, and maintain lease agreements using approved templates and processes.
  • Coordinate the collection of supporting documents required for lease preparation, renewals, amendments, and property occupation.
  • Maintain accurate electronic and administrative records for tenants, landlords, properties, lease agreements, contractors, and service providers.
  • Build and maintain a reliable contact database of contractors, suppliers, technicians, property professionals, and other relevant contacts.
  • Track lease dates, document deadlines, renewals, approvals, signatures, and outstanding information.
  • Support tenant onboarding, property handovers, access arrangements, and general occupation-related administration.
  • Coordinate appointments, meetings, contractor access, inspections, viewings, and other property-related activities where administrative support is required.
  • Maintain query logs and follow up with the responsible parties to ensure matters are resolved or escalated.
  • Prepare written correspondence, notices, updates, and supporting property documentation.
  • Assist with the comparison and administration of quotations where documentation or approval tracking is required.
  • Support general property operations by keeping records current, communications clear, and outstanding actions visible.
