To provide efficient administrative support to the Technical Training Centre by ensuring the effective coordination of clerical functions, maintaining accurate administrative systems and procedures, and delivering high-quality support to staff, learners, clients, and other stakeholders. The role also serves as a key point of contact for handling enquiries, facilitating communication, and contributing to the smooth day-to-day operation of the training centre.

Responsibilities

  • To support the effective administration of the technical training centre by carrying out clerical tasks and projects.
  • Manage the administration of the technical training centre and liaise with clients, visitors, learners, staff and other stakeholders.
  • Manage the administration of all insurance, workmen’s compensation and other regulatory requirements.
  • Ensure a safe workplace environment without risk to health and that all Health & Safety Policies, Procedures and Rules and Regulations are adhered to, regularly reviewed, updated and communicated.
  • Act as a liaison between clients and different support teams and ensuring client satisfaction
  • Provide support to facilitators, learners and staff members.
  • Continuously improve processes and systems to ensure the smooth running of the Technical Training Centre.
  • Ensure and monitor compliance with SETA, QCTO, and NAMB standards by implementing and maintaining quality assurance processes in line with company policies, regulatory requirements, and applicable legislation.
  • Register learners on SETA, QCTO and NAMB databases and handling all liaison with these regulatory bodies.
  • Stay abreast with all SETA, QCTO and NAMB accreditation and compliance processes and systems.
  • Submit learner agreements and required documents to the relevant SETA, QCTO and NAMB to ensure compliance.
  • General office administration such as procurement, coordination and record keeping.
  • Develop and implement an efficient documentation and filing system.
  • Resolve relevant training data issues as they arise.

  • Submit reports on training activities and results.

  • Upload all data into the company learner management system (LMS).

  • Issue certificates to learners that satisfied all relevant requirements.

  • Contribute to all relevant projects as required.

  • A Diploma in Business Administration, Training, HR, Education or other related field.
  • 3 years' proven experience as a Technical Training Administrator.
  • Extensive knowledge of SETAs, QCTO, NAMB and other relevant regulatory bodies.
  • Working knowledge of databases and Learning Management Systems (LMS).
  • Outstanding communication skills, both written and verbal.
  • Knowledge on how to apply for discretionary & mandatory grants.
  • Good administrative and organisational skills with attention to detail.
  • Excellent time management skills and ability to prioritise within a busy workload.
  • Ability to work effectively as part of a team.
  • Initiative to work with a minimum of supervision.
  • Exemplary planning and time management skills.
  • Ability to multitask and prioritise daily workload.
  • Discretion with personal and confidential information.
