Storeways and Crew Matters Administrator

P & I Marine Surveyors and Consultants has a vacancy for a Storeways & Crew Matters Administrator based in Cape Town.
➢ Receive and action instructions from the P&I Club, vessel agents, owners or charterers on crew and stowaway matters, and open and maintain the case file from start to finish.
➢ Coordinate care and treatment for sick crew members, including arranging ambulances, hospitals and other health facilities with local authorities and service providers.
➢ Manage the repatriation process for deceased crew members, working with mortuaries, funeral parlours, embassies and border control offices to secure the required documentation.
➢ Handle stowaway cases from start to finish — engaging port authorities, law enforcement and appointed agents to arrange safe disembarkation and handover.
➢ Keep the Manager, P&I Club, vessel agents, owners and charterers updated throughout each case, and flag any bottlenecks that need extra attention.
➢ Check and verify service provider invoices, and keep case files complete and up to date for processing and archiving.
➢ Take part in internal operational meetings, presenting updates on current crew and stowaway cases.
➢ Operations and Administration teams across P&I's local offices.
➢ SAMSA, Port Authorities, Customs and Excise, vessel agents and service providers.
➢ Once the crew member is admitted to the hospital, the file handler needs to visit the hospital and ensure that the crew member is well, which includes purchasing refreshments.
➢ Appointing stowaway dog search and security company around the Cape Town, Saldanha Bay, and Namibia Region.
➢ Matric (grade 12)
➢ Completed Diploma or Degree in Maritime Studies, or a related field
➢ Min 3-5 years of industry experience
➢ Computer literate (Excel and MS Word)
➢ Excellent communication and interpersonal skills for engaging with various stakeholders
➢ Working knowledge of port regulations, immigration rules, and stowaway-related legislation
➢ Familiarity with crew welfare, repatriation, and medical treatment/care processes
➢ Awareness of customs, border control, and port authority procedures
➢ Familiarity with regulations and standards in maritime operations and safety
➢ Problem-solving under pressure, especially where bottlenecks or urgent welfare issues arise
➢ Attention to detail for file management, invoice verification, and documentation accuracy
➢ Ability to work independently under pressure according to tight deadlines and exercise judgment while escalating appropriately to the Manager
➢ Visible initiative and drive together with flexibility are key attributes required
➢ Further critical attributes include a meticulous approach, attention to detail and a high level of conscientiousness
➢ Available to work outside of normal working hours as/ when required
➢ Own Drivers licence (Code 08)
