Group Finance provides financial governance, strategic enablement and reporting across Momentum Group. As subject matter experts in many finance-related functions, we play a central role in evaluating potential corporate financial deals and serve as the focal point for tax-related matters, such as new regulations and compliance

We are seeking a highly professional, proactive, and service-oriented Senior Personal Assistant to provide comprehensive executive support to the Heads of Corporate Finance and Group Tax. This pivotal role is responsible for enabling the effective functioning of the leadership team through exceptional administrative, organisational, and business support services.

Role Purpose

To provide an effective and efficient business enablement and administration function to support the Heads of Corporate Finance and Group Tax.

Requirements

  • Matric
  • Office administration, secretarial or equivalent qualification
  • At least 8 years business enablement and administrative experience in a financial services environment supporting an executive/senior manager
  • Microsoft Suite (Word, Excel, PowerPoint)
  • Meeting preparation and logistics
  • Computer literacy
  • Budget Management & Project Management

Duties & Responsibilities

INTERNAL PROCESS:

  • Prepare agenda packs and manage logistics of internal governance meetings
  • Liaise with (high profile) external stakeholders to arrange meetings and visits
  • Coordinate projects as agreed with line managers
  • Arrange detailed travel arrangements and compile all the relevant documentation for travel-related meetings
  • Coordinate and maintain the Executive’s diaries, schedule meetings and appointments
  • Screen incoming calls, correspondence and respond independently where possible
  • Provide secretarial support (agenda, minutes, action plans etc.) for the preparation and successful execution of meetings for all team members
  • Support the flow of information within the manager's office, ensuring that matters requiring their personal attention are handled speedily
  • Escalate faults and other housekeeping issues with the relevant service provider and ensure queries are resolved within the given time frames
  • Prepare and verify invoices, ensuring timely payments and adherence to Service Level Agreements (SLAs)
  • Order and control office supplies
  • Ensure files are kept in order and easily accessible
  • Collate, compile and distribute documents to the required standards and within defined time-frames
  • Attend to ad hoc personal matters

CLIENT PROCESS:

  • Build and maintain relationships with clients and internal and external stakeholders
  • Deliver on service level agreements made with clients and internal and external stakeholders in order to ensure that client expectations are managed
  • Make recommendations to improve client service and fair treatment of clients within area of responsibility
