SUMMARY

Document Controller (Mining)

We are recruiting on behalf of one of our clients for a Document Controller to join their mining operations based in Heidelberg, Gauteng. The successful candidate will be responsible for providing comprehensive document control and project administration support by ensuring all engineering, maintenance, and project documentation is accurately controlled, maintained, and distributed throughout the project lifecycle. This role requires extensive experience within a mining or heavy industrial environment, strong SAP knowledge, and the ability to maintain audit-ready documentation while supporting engineering, procurement, compliance, and project teams.

POSITION INFO

Minimum Requirements Grade 12 (Matric) - Essential. Qualification in Office Management, Information Management or a related field (NQF Level 6 or equivalent). Minimum 5-10 years' experience as a Document Controller, Project Administrator, or Maintenance Administrator within the mining or heavy industrial sector. Experience working on CAPEX and operational maintenance projects. Strong understanding of mining legislation, engineering documentation, and compliance requirements. Advanced SAP experience, including PM, CO, PS and Ariba modules. Proficient in Microsoft Office Suite (Excel, Word, Outlook and MS Project). Experience managing document registers, revision control, project schedules, reports and compliance documentation. Excellent organisational, communication and administrative skills. High attention to detail with the ability to manage confidential information. Roles and Responsibilities Document Control & Information Management Control, register, distribute, track and archive all project and operational documentation. Maintain document numbering systems, revision histories and version control. Prepare, update and manage procedures, templates, reports and official correspondence. Ensure documentation complies with company standards, quality requirements and mining legislation. Maintain accurate master document registers and ensure all documentation is current and audit-ready. Project & Engineering Administration Provide administrative support to Project Engineers and Project Managers. Compile daily reports, weekly schedules, progress reports and month-end project reports. Coordinate planning meetings, distribute meeting minutes and maintain action registers. Monitor Work Breakdown Structures (WBS), project budgets and cost reporting. Assist with project close-out documentation and handover packs. SAP, Procurement & Financial Administration Create and monitor purchase requisitions, service requisitions, RFIs and emergency breakdown orders. Process procurement requests using SAP, Ariba, Coupa, Sage and Syspro where applicable. Generate SAP reports, cost reports and expenditure analyses. Support budget tracking, cost control and expenditure monitoring. Compliance, Safety & Legal Documentation Maintain statutory records, legal appointments and compliance documentation. Assist with contractor packs, safety files, onboarding documentation and induction records. Support SHE Representatives and Safety Officers during audits and inspections. Ensure maintenance, legal and engineering documentation complies with mining regulations and company procedures. Stakeholder & Site Support Liaise with Engineers, Project Managers, Foremen, Contractors and Mining Management on documentation and reporting requirements. Coordinate meetings, calendars, site logistics and administrative activities. Provide relief support to senior administrative personnel when required.
