Job Purpose
The Motor Claims Fulfilment Administrator provides essential administrative and
operational support to the assessing department and the relevant external
stakeholders involved in the motor claims process. This role is responsible for
maintaining and updating key documentation using MS Excel, internal
databases, and departmental systems to ensure the smooth execution of claims
fulfilment activities. Responsible for ensuring data accuracy, process efficiency,
and adherence to best practices, contributing to the overall effectiveness of the
claims function.
Responsibilities
Data Collection and Analysis
Accurately collect and collate information relevant to motor claims assessments for submission to internal departments, external stakeholders, and audit.
Ensure consistent and precise recording of data across all internal systems and platforms used by external parties, supporting transparency and traceability.
Contribute to the effective maintenance and continuous improvement of
administrative processes to enhance data quality, operational efficiency, and
compliance within the motor claims fulfilment function.
Operational Compliance
Develop and maintain a solid understanding of the organization’s policies,
procedures, and relevant regulatory codes and conduct standards applicable to
the motor claims fulfilment process.
Consistently adhere to mandatory procedures and compliance requirements to
ensure all administrative tasks and data handling are performed to the required
standards.
Support the department’s commitment to regulatory integrity by ensuring that all documentation and system entries meet internal and external audit expectations.
Document Preparation
Prepare routine correspondence, reports and other documentation in line with
departmental standards and detailed instructions.
Utilize the full range of functions within standard office software (E.g. Microsoft Word, Excel, Outlook, etc.) to ensure that documents are professionally formatted, accurate and fit for purpose.
Maintain consistency and quality in document output to support internal
operations and external communications within the Motor claims fulfilment
process.
Client & Customer Management
Support the effective management of internal and external clients by performing routine administrative tasks and contributing to customer service-focused activities within the motor claims fulfilment process.
Assist team members in delivering a responsive and professional service
experience, ensuring timely and accurate internal communication and documentation.
Help maintain positive stakeholder relationships by upholding service standards and addressing queries or requests in a courteous and efficient manner.
Stakeholder Engagement
Build and maintain effective working relationships with internal departments,
external partners, and service providers involved in the motor claims fulfilment
process.
Ensure consistent and high-quality service delivery by understanding and
adhering to stakeholder-specific Service Level Agreements (SLAs) and
Turnaround Time (TAT) guidelines.
Provide ad hoc support on departmental projects and initiatives, contributing to collaborative efforts and continuous improvement across stakeholder.

Work Scheduling and Allocation
Effectively manage and prioritise own workload to ensure timely completion of all assigned tasks within the motor claims fulfilment process.
Maintain awareness of deadlines and service expectations, adjusting work plans as needed to meet operational requirements and support departmental
efficiency.

Continuously develop and enhance process knowledge and technical skills by
engaging in formal training, informal learning opportunities, and coaching
sessions.
Take ownership of personal growth to remain up to date with system changes,
industry practices, and departmental procedures, contributing to improved
performance and service delivery.
Education
Grade 12/ SAQA Accredited Equivalent (Essential); Certificate/ Diploma/Degree in the Administration (Advantageous).
Experience
1 years' experience in an administrative support role within an operational environment (Essential); Experience within the motor claims, insurance or financial services industry (Advantageous).
