Workshop Administrator - Maternity Cover Reporting To: Logistics Manager Seniority Level: Mid Career (Above 6 yrs exp) Region: Western Cape Type: Contractor Sectors: Logistics, Warehouse & Supply Chain, Engineering and Technical Functions: Fleet Controller, Procurement Administration, Workshop Admin Duties and Responsibilities: Manage all driver and fleet logistics, including daily schedules, driver allocations, site requirements, product collections, truck availability, mileage records, orders and deliveries. Manage driver time and attendance on ERS-Bio, including clockings, attendance, overtime, exceptions, missing clockings and approved corrections. Keep all driver information accurate and up to date. Reconcile ERS-Bio records with approved attendance registers and supporting documents. Collate driver allowances, loan deductions and other payroll inputs and submit complete, accurate information to HR within payroll deadlines. Handle routine driver wage and allowance queries, investigate discrepancies and liaise with HR and Payroll until matters are resolved. Maintain accurate driver payroll, attendance and supporting records for audit and compliance purposes. Coordinate fuel-slip reconciliation and vehicle maintenance scheduling with the Workshop Foreman to minimise operational delays. Act as the primary contact for all routine driver matters. Manage driver recruitment and onboarding administration, verify licences and required qualifications, coordinate training, monitor performance and attendance, and manage grievances and disciplinary matters in consultation with the Plant Manager and HR. Manage the ordering, receipt, storage, issuing and distribution of PPE. Maintain accurate stock and issue records and reorder supplies before shortages occur. Ensure all PPE meets approved safety specifications and carries the correct, current company branding. Requirements: Relevant tertiary qualification in logistics, transport management, administration or related field preferred. Minimum 5 years' experience in driver logistics, fleet coordination or workshop administration. Proficiency in Microsoft Word and Excel essential, experience using a time-and-attendance system preferred. Experience in the construction, civil engineering or transport industry advantageous. Skills in Workshop Administration, Driver and Fleet scheduling, Processing T&A on Sage payroll and ERS Biometrics, PPE administration, and Reconciliation of diesel slips.
