Our client in the automotive parts and supply industry is seeking to employ an Internal Operations Coordinator to join their team based in Gqeberha, Eastern Cape.

Working Hours: Monday to Friday, 07:30 – 17:30

POSITION INFO

Requirements Grade 12 / Matric. Previous experience in internal sales, customer service, order processing, procurement administration or operational coordination. Strong computer literacy, including Microsoft Office. Experience using CRM, ERP or inventory management systems will be advantageous. Strong written and verbal communication skills. Excellent organisational and administrative skills. High level of accuracy and attention to detail. Ability to work under pressure and meet strict deadlines. Automotive parts knowledge will be highly advantageous. Previous experience within the automotive aftermarket, dealership, parts distribution or fleet environment will be beneficial. Ability to interpret OEM and aftermarket part numbers. Understanding of vehicle makes, models, VIN information and component descriptions. Experience liaising with suppliers, dealerships, workshops or government fleet customers. Microsoft Dynamics 365 experience will be advantageous. Responsibilities Receive, review and capture customer RFQs on the CRM Portal. Interpret vehicle and automotive parts requirements accurately. Request pricing and availability from suppliers. Compile and submit customer quotations within required turnaround times. Process customer orders and verify pricing, quantities and part numbers. Create and maintain sales orders and purchase orders. Coordinate supplier stock availability, dispatch and deliveries. Monitor open orders, backorders and delivery deadlines. Capture courier, waybill and delivery information. Maintain accurate transaction and supporting documentation. Follow up on quotations, orders, deliveries and customer enquiries. Assist with returns, exchanges, replacements and credit requests. Update CRM records and transaction statuses accurately. Escalate delays, discrepancies and service risks where necessary. Communicate professionally with customers, suppliers and internal departments. Assist with daily, weekly and monthly operational reporting. Contract Duration This is a fixed-term contract commencing on appointment and ending on 30 September 2030 .
